How to Send Recurring Emails in Microsoft Outlook
In today’s fast-paced business world, staying on top of regular communication can be a challenge. Fortunately, Microsoft Outlook provides a feature that allows users to send recurring emails, ensuring that messages are sent out consistently without the need for manual intervention each time. This can be particularly useful for things like weekly updates, monthly newsletters, or reminders. Here’s a step-by-step guide on how to set up and send recurring emails in Microsoft Outlook.
Step 1: Open Outlook and Create a New Email
Begin by opening Microsoft Outlook on your computer. Click on “New Email” to create a new message.
Step 2: Write Your Email
Compose the email that you want to send repeatedly. This includes filling out the subject line and body of the message. If the email is going to multiple recipients, enter their email addresses in the ‘To’ field.
Step 3: Set Up Recurrence
Once your email is composed, go to the “Options” tab in the menu ribbon at the top of the New Email window. Find and select “Recurrence.” A dialog box will appear that prompts you to define the recurrence pattern for your email.
Step 4: Choose Recurrence Pattern
In the Appointment Recurrence dialog box, specify how often you want the email to be sent—daily, weekly, monthly, or yearly—and choose any additional settings such as the day of the week for weekly recurrences or day of the month for monthly ones.
Step 5: Set Range of Recurrence
After defining your recurrence pattern, set the range of recurrence. This involves deciding when you want this series of recurring emails to start and if/when you want it to end.
Step 6: Save & Close Recurrence Settings
Once you have configured your settings, click “OK” in the Appointment Recurrence dialog box to save your settings.
Step 7: Use Calendar Invites as a Workaround
Microsoft Outlook doesn’t natively support sending automated recurring emails. However, a common workaround is saving your message as a calendar appointment with yourself included as an attendee. In this case, after completing Step 6, send this Calendar invite containing the email to yourself or any relevant attendees.
Step 8: Set Reminders & Alerts
Set a reminder alert for yourself within this appointment so that when it’s time for the message to be sent each instance it comes up in your calendar notifications prompting you to send it manually.
Step 9: Finalize Your Message
Make sure everything in your message looks good – check grammar and spelling. Since this will be sent multiple times automatically based on your settings ensure there are no date-specific references unless those dates are updated each time accordingly.
Step 10: Send Your Email Manually Each Time
When it’s time for each occurrence based on your calendar reminder alert created earlier, manually send this pre-composed email following by copying contents from Calendar appointment notes into a new email address it and sending out as normal.
By following these steps, you can effectively manage recurring emails through Microsoft Outlook’s calendaring functions as a workaround given its lack of direct support for this feature in its mail functions. It requires some initial setup and regular manual sending but will ensure consistent communication with contacts on whatever schedule fits your needs.
